ShiftPulse

A rule-based coordination and alerting system bridging restaurant management and floor staff via real-time Telegram and email channels.

The Premise

Fast-paced restaurant floors suffer from communication lag and misalignment between management targets and on-the-ground shift execution.

Overview

ShiftPulse is a bespoke operational dispatcher engineered for high-volume restaurant environments. Rather than introducing another heavyweight app that staff have to download and log into, it connects managerial directives, prep targets, and shift rules directly to the channels staff already use: instant messaging via Telegram bots and automated executive email summaries.

The need

In daily restaurant operations, the gap between management intentions and floor execution is wide:

  • Shift goals (sales targets, focus items, station preps) are verbally briefed during pre-shift meetings and quickly forgotten under rush hours.
  • Managers lack a non-intrusive way to send real-time operational nudges without shouting across the floor or pulling staff off their stations.
  • End-of-shift handover notes are often scattered across disparate chat groups, paper slips, or lost entirely.

Product goals

  • Provide zero-friction delivery: reach staff on mobile without requiring new app installations or complex logins.
  • Establish a rule-based engine for scheduled checklists, threshold-based alerts, and station reminders.
  • Centralize handover logs and deliver structured end-of-shift summaries to leadership.

Constraints & Pragmatic Decisions

  • Zero overhead for floor staff: Kitchen and service staff cannot operate laptops or navigate multi-level menus during service. A lightweight, reactive Telegram bot interface handles confirmations and alerts in seconds.
  • Reliability over complexity: Built with a resilient event-scheduling loop and webhooks, ensuring alerts trigger reliably regardless of network flakiness in basement prep kitchens.
  • Privacy & simplicity: No surveillance or personal tracking; the system is strictly operational, dispatching shifts, checklists, and station milestones.

Current state

The system is actively running in production across client locations, handling scheduled daily shift dispatching, mid-shift milestone checks, and end-of-day handovers.

Lessons learned

In hospitality operations, user adoption is won or lost on ergonomics. The best operational software is the one that demands the fewest taps and never pulls a worker away from a guest or a pan.
